Shipping Policy

Essential Control Systems offers two different shipping carriers; FedEx and USPS.  Orders that are shipping to patient's home will ship via USPS.  Orders shipping to clinician's office, will ship via FedEx.

**Please note if shipping to Alaska or Hawaii, shipping will be USPS regardless of delivery location. 

 

Shipping cost depend on quantity ordered at the time of check out and the speed in which you would like your order to be delivered (ground, expedited or overnight).  The minimum shipping charge is $12.  Ground shipping in most cases takes 2-3 business days

 

Most orders placed before 2:00 pm CST are typically shipped the same day unless an items is on back order.  Essential Control Systems will notify buyer/customer with anticipated shipping dates when available.

 

**Please note that FedEx does not deliver on Saturdays, Sundays or significant US holidays.

•There is no regular mail delivery/pickup or retail services on Postal holidays.
•You cannot schedule Hold Mail or Redeliver to begin or end on the above holiday dates.
•Retail lobbies at Post Offices nationwide will be open for business Christmas Eve, Friday, Dec. 23, and New Year’s Eve, Friday, Dec. 30. But most will shorten their hours, closing at noon.

Return Policy

Essential Control Systems will accept authorized returns only.  In the event of damage product while in transit, call 800-537-3779 or email at support@essentialcontrol.com for instructions on how to handle the claim.  Keep all packaging materials for return shipping.  Any claim for damaged during shipping must be made within 7 days of receipt of order and accomanied by the original package.  Notification of short or lost order must be made within 10 days of receipt of invoice.  Defective product will be repaired, received replacement or full credit at our option.

 

Internal sensors may only be returned when deemed defective by customer service.  Wrongly placed orders maybe returned for a 18% restocking fee.  Please call customer service 800-537-3779 to receive a Return Merchandise Authorization (RMA) number to return product.  The RMA number must be clearly visiable on the outside of the package.

What kind of service can I expect from Essential Control Systems?

Since 1991 Essential Control Systems has operated as a durable medical equipment dealer specializing in equipment for the treatment of pelvic muscle dysfunction.  We carry product for patient rental or purchase and supplies and systems for clinician's offices.  We pride ourselves on compassionate customer service, offering patients a place to call that deals exclusively with the equipment used to treat the conditions from which they suffer.  Please remember that Essential Control Systems can assist the patient in the basic operations of the units we sell, but we are not legally or ethically able to give medical advice to the patient about their particular condition.

 

Where and when will the product be delivered?

We deliver to the clinician's office so that a patient can pick up the unit during an office visit, learn how to use the unit and then take the unit home.  If the patient and clinician are confident that the patient know how to operate the unit, delivery can be made to the patient's home.  Units are shipped out the day the order is received, provided all paperwork is received by 2pm CST.  Please select the appropriate shipping speed and price for your needs on the order form or at online check out.

 

How does the Home Trainer Rental Program work?

The first month's rent will be billed to the patient's credit card when the unit is shipped.  Subsequent months of rent will be billed at the beginning of each monthly rental period.  The minimum rental period is one month, commencing with the delivery of the equipment to the patient's home or clinician's office.  Failure to notify Essential Control Systems about the desire to return the equipment either on or before the Renewal Date (found on the bottom of each monthly invoice) will result in automatic renewal of the lease for another month.  There will be no refund or deduction of charges for an unused portion of any rental period.

 

Will my rental payments apply to the purchase of the unit?

The first two months of rental payments apply to the purchase of the unit you are renting.  Our clinicians have told us that typically within the first 60 days they can determine the long term need for the home unit.

 

If a patient decides to discontinue renting, how will they return the equipment?

The patient will be responsible for returning the equipment to Essential Control Systems as directed by the Return Shipping Instructions enclosed with the unit.  All Instruction manuals, adapters, carrying case and any other items included with the unit must be returned. Individual Internal Sensors are NOT to be returned to our office.

 

Who is responsible for the equipment while it is in the patient's possession?

Essential Control Systems will not be held responsible for any injury or damage experienced in the use of the equipment and the patient will pay in full any lost or damage to the equipment from fire, theft, carelessness or other non-warranty covered cause.  Additionally, neither the patient nor the clinician will attempt any form of repair on the equipment and any sign of malfunction will be immediately reported to Essential Control Systems.

 

Will insurance pay for the patient's medical equipment and supplies?

The patient pays for equipment and supplies ordered at the time of service.  We do not accept assigment of insurance for the rental or purchase of home units.  We do, however, assist patients in filing their claims so the insurance company will reimburse the patient directly.  Tips for patients interested in checking with their insurance:

  • Check with your insurance company about the coverage for DME (durable medical equipment)

  • The billing code for the EMG biofeedback home trainer is E0746

  • The billing code for the electrical stimulation home trainer is E0740

  • The billing code for all supplies (internal sensors, cables, electrodes etc.) is E1399

  • The insurance company may require a prescription or a letter of medical necessity from the referring physician

  • Verbal statements of coverage are not a guarantee of payment

  • All claims are subject to medical review and despite authorization could still be denied.
